Tribe Ave Studios Policies & Procedures Welcome to Tribe Ave Studios. This document outlines the official policies and procedures that govern the use of our studio facilities, equipment, and services. These guidelines are designed to protect both the studio and our clients, ensuring every session runs smoothly, professionally, and safely. Please read carefully, as booking or using our services confirms your agreement to abide by these policies. Booking & Payment Policies - All bookings must be made in advance. A deposit is required to confirm the session. No-call, no-shows forfeit payment with no refund. If a client communicates but is within 48 hours of the booking, rescheduling is at the owner's discretion. Late arrivals will not be credited extra time; if the studio is late, time will be extended. Reversed payments or bounced checks incur a $50 fee. Unpaid balances accrue a $25 collection fee plus 10% monthly interest after 30 days. Annual subscription members (10, 25, 50-hour tiers) do not roll over unused hours unless expressly permitted by the owner. Hours expire at the end of the 12-month term. No cash accepted; card payments incur processing fees. Late payments incur a $50 penalty plus 10% monthly interest. Chargebacks will be pursued with all legal remedies. Cancellations & Refunds - If a Tribe Ave engineer cannot attend, the studio will provide a qualified substitute or reschedule at no cost. Time cannot be transferred to others; the member remains responsible. Medical emergencies or car accidents, if proven, may result in waived penalties at the owner's discretion. Repeated cancellations may result in restrictions on prime-time bookings. Clients may reschedule only once; thereafter a new booking is required. Partial refunds are at the owner’s discretion. Prime hours are Friday 4pm – Sunday 10pm. Membership & Subscription Packages - Memberships are sold on annual contracts. Members receive discounted hourly packages of 10, 25, or 50 hours. Hours do not roll over monthly and expire at the end of the contract year. Membership benefits include discounted psych wall fees and exclusive access terms. All members must abide by booking and cancellation policies. Studio Access & Guest Policy A maximum of 6 guests per session is allowed. Larger gatherings must be booked as events. The booking client must check in via Wix. Event guests must show ID. Access is restricted to booked spaces. Food and drinks with lids only; no food near consoles or equipment. All food waste must be disposed of outside. Alcohol is allowed for clients but Tribe Ave assumes no liability. Staff and engineers are prohibited from alcohol while working; violation is grounds for termination. Shared restroom key incurs $20 replacement fee if lost. Behavior: no disrespect, harassment, threats, fighting, or illegal activity. Zero tolerance for drugs; smoking prohibited inside. Vaping allowed except near mics/booths. Clients are responsible for securing the studio when leaving. Children & Minors - Children under 18 must be accompanied by a parent/guardian. Parents/guardians assume all liability for minors on site. Equipment & Facilities Use - Studio gear (mics, cameras, cables, furniture) must be handled with care and returned to proper locations. Improper handling or damage will result in repair/replacement charges. Client-provided gear is the client’s responsibility; if it damages studio property, the client is liable. Furniture and props must be returned to their original placement. Psych Wall Policy - Tribe members are charged a $20 repaint fee per use. For non-members, repaint fees are included in rental. Unauthorized psych wall use incurs a $50 fine, regardless of membership. Communication of psych wall use is required prior to the session. Data Storage & Deliverables - Files are retained on studio drives for 30 days, and external drives for 6 months before deletion. Clients receive master WAV files after sessions. Stems and tracked-out files must be requested during booked time. If requested after the session has ended, an additional one-hour charge applies. If requested a 2nd time, stems incur a flat $50 fee for songs up to 50 tracks, $100 for 51+ tracks. Clients must provide their own USB or cloud storage. Files will also be emailed to the client and cc’d to info@tribeavestudios.com. Retrieving older files outside of storage windows costs $50-100 per request. Tribe Ave is not liable for lost, corrupted, or undownloaded files. Credit & Metadata Requirements - All works recorded at Tribe Ave must be credited as 'Recorded at Tribe Ave Studios' in metadata, streaming, and publishing. Failure to credit may result in withholding of deliverables and legal action. Comp sessions, sponsored mixers, and giveaways must include 'Executive Produced by Tribe Ave Studios.' Member sessions require 'Recorded at Tribe Ave Studios' but not 'Executive Producer' unless otherwise approved. Split sheets must be completed & delivered via email to info@tribeavestudios.com for every session, including legal names, stage names, writers, producers, publishers, IPI numbers, and splits. Final deliverables will be withheld until metadata is submitted. A $50 fee applies if staff must chase down metadata. Failure to provide metadata releases Tribe Ave from liability for miscredits. Public acknowledgment is required in posts related to the studio; failure may result in loss of discounts or booking privileges. Confidentiality & Non-Disparagement - All business information, operations, recordings, and creative works at Tribe Ave are confidential. Clients agree not to disparage the studio or staff publicly, including on social media, blogs, forums, or interviews. Violations may result in termination of future bookings, legal action for defamation, and pursuit of damages. Honest, non-malicious reviews are acceptable. Liability, Indemnification & Right to Refuse - Clients agree to indemnify Tribe Ave Studios from liability for injuries, damages, or losses on premises. Clients assume full responsibility for guests and property brought into the studio. Tribe Ave reserves the right to refuse service to anyone engaging in unsafe, illegal, or disruptive behavior. Cleaning & Event Policies Clients must return the studio to its original condition. Failure to clean or reset incurs a $50 fee. Members may arrive 15 minutes early for setup. Event bookings must comply with all city regulations. Clients are solely responsible for event insurance; Tribe Ave assumes no liability for event-related incidents. General Provisions - Policies may be amended at any time at the discretion of the owner. Clients will be notified of significant changes.
Tribe Ave Studios Membership Agreement This Membership Agreement establishes the terms, benefits, and responsibilities of becoming a member of Tribe Ave Studios. Membership provides access to exclusive perks, booking privileges, and full use of studio resources, while protecting the studio with clear financial and conduct expectations. By signing below or completing your online membership registration, you agree to abide by the terms outlined in this agreement, as well as all studio Policies & Procedures. 1. Payment Terms - Membership fees are due on the day of sign-up. That date becomes the recurring due date each month. Payment must be made in full on or before the due date to maintain membership privileges. If a membership payment is not received on time, a $50 late fee will be applied, plus 10% monthly interest on any balance after 30 days. All membership payments are non-refundable, even if hours are not used. If a member elects to terminate before completion of the agreed membership term, they remain responsible for the balance of monthly fees for all remaining months. 2. Engineer Autonomy Tribe Ave Studios does not control or set engineer hourly rates. Each engineer retains autonomy to establish their own rates when booking sessions. 3. Renewal Membership may be renewed within 30 days prior to expiration. If no action is taken, the contract will automatically continue on a month-to-month basis under the same terms. 4. Member Access & Perks Members currently have 24/7 access to book sessions. As membership grows, booking will shift to a first-come, first-serve system. Members have full access to studio equipment including cameras, microphones, computer systems, and software. All bookings are coordinated through the owner until a full membership calendar system is implemented. Members receive booking priority over non-members. Members receive free entry to the monthly Media Mixer and discounted entry to select studio events. Membership hours and benefits are not transferable or resellable. 5. Conduct & Studio Rules Membership is contingent upon compliance with Tribe Ave Studios Policies & Procedures. Professional conduct is expected at all times. Tribe Ave Studios reserves the right to terminate memberships if a member repeatedly misses payments or violates studio rules. 6. Amendments & Modifications Any amendments or modifications to this agreement must be in writing and signed by both the member and an authorized representative of Tribe Ave Studios. 7. Membership Benefits & Adjustments Tribe Ave Studios may adjust membership perks and benefits as the studio grows and services expand, with notice provided to members. 8. Governing Law This agreement shall be governed by and construed in accordance with the laws of the State of Arizona. 9. Execution - This agreement is entered into as of the member’s sign-up date listed in their membership purchase confirmation.
